Continuity & Archiving
Email storage requirements are continuously growing. Considering that 80% of all corporate knowledge is now ‘locked’ within email, it is imperative that that these storage requirements be met and maintained.
On the Staff side - skills in network support, security management, mail services, expertise in an archiving application and backup procedures would be required. Few companies want to invest in the kind of redundancy of both staff and equipment in the fulfillment of only one service requirement. Email storage and retrieval can be easy and far more cost effective. This solution to your archiving needs will store all emails (including Bloomberg) and instant messages while providing each user access to his/her archive through a web-based portal.
This archive portal also allows users to send and receive email from within the portal, thus fulfilling a cornerstone of your Email Continuity needs. And because access to the portal is role-based, supervisory accounts can be created to provide designated individuals the ability to monitor the messages in other mailboxes.
Advanced search and filter functions have also been built into the archive portal to assist in finding important messages amongst the massive number of messages collected from all users over time. Once this “needle in the haystack” is found, one simple click will restore the message from the archive back to your internal mail system. Even though the archive resides off your network, you still maintain control of your company’s archive by choosing to keep as little as one year of messages or up to seven full years of messages. Also, you have the option of off-loading the archive to other media upon request.

- Customizable data retention – You determine how long to keep messages in your archives. The archive can also be downloaded to a CD/DVD at your request for offline storage.
- One Click Recovery – Advanced, easy-to-use search filters have been built in to help you find the needle in the haystack. Recovery of messages is then performed with a single click.

Info Exchange’s Personal Archive gives your users unlimited mailboxes and allows them to quickly and easily access their archived email directly from Microsoft Outlook or Lotus Notes. For added convenience, we offer Personal Archive Folder Sync, which keeps users’ Outlook folders intact in the archive for easier search and retrieval. Plus, with our cached sign-on technology, you don’t have to worry about forgotten usernames and passwords.

Personal Archive seamlessly integrates with Outlook and Notes, so it’s easy to complete the most common day-to-day tasks, using a variety of familiar shortcut buttons. In addition to giving your users the power to restore lost or deleted emails back to their inboxes, Personal Archive also allows them to compose, reply to and forward messages directly from their archives, just like they would in Outlook or Notes. Additional features include the ability to save searches, so users can re-run them as needed, and custom tagging, to group certain emails together for future reference. Users can also access their archives from Outlook Web Access, the IBM Lotus Notes Web Client, BlackBerry® devices and through a browser-based, secure website, which is a convenient option for employees working from home or on the go.
Comprehensive search features
Your users can access Personal Archive to search for specific emails and attachments two ways: Quick Search and Advanced Search. The Advanced Search option gives them the ability to customize their searches based on a variety of criterion, such as message keywords, to, from, subject, date(s), attachments, etc.
Personal Archive’s Search Filters offer advanced functionality to help your users quickly and easily fine-tune their searches. Whether they conduct a Quick Search or an Advanced Search, they receive overall search results (based on their search terms) as well as a comprehensive Search Filter list, featuring a variety of categorized criteria to further hone in on whatever they are trying to find. They can also save their searches for future reference (which means they don’t have to keep recreating their most common searches).
Send and receive emails when your mail server is down

Info Exchange’s Email Continuity is an always-on backup and continuity service that provides your users with “standby mailboxes,” enabling them to send and receive email when your server is unavailable as if it were online. Email Continuity allows your IT resources to focus on the root cause of the outage instead of wasting time implementing temporary solutions (e.g. MX repoints, etc.).
Once service to the primary mail platform is restored, messages are routed from the archive back to your primary system (no duplicate messages are stored).
Info Exchange’s Email Continuity captures all of your users’ inbound, outbound and interoffice messages (including attachments), both before and during an outage, and stores and indexes them in our easy-to-use, online archiving system. Your users can view their archives through a web browser, and administrators can deploy personal desktop access to users via a web-based folder in their primary email client.
