Email Spooling

This is a highly scalable and efficient service for customers with an internal messaging system (such as Microsoft Exchange, Novell GroupWise, Lotus Notes, etc.) that is connected to the Internet on a part-time or on a full-time basis.

A simple modification of the MX records in the DNS of the customer's domain name, so as to reference our Servers, will direct the customer's mail to our mail gateway. Viruses and Spam can now be identified and quarantined prior to delivery to the customer's email server.

There are two different delivery modes to the Mail Spooling Service: ETRN for Full-time connections to the Internet , and Authenticated Dynamic for part-time connections (e.g. ADSL and Dial-up).

Customers that have a static IP address from their ISP will primarily use the ETRN mode. In this mode, our mail server farm senses when the customer's mail server is available and pushes the spooled mail once received in real time. Most Groupware packages (such as MS Exchange) have native support for ETRN .

Customers that get a dynamic IP address from their ISP and can accept inbound SMTP e-mail would use the Authenticated Dynamic mode. In this mode, an application installed on the customer's mail server will first authenticate itself to our mail spooling server farm and then pulls the mail into the customer's email server. This would occur on a scheduled basis (e.g. every 5 minutes)

Email Hosting

Our Email Hosting service provides advanced e-mail capabilities, to companies that do not possess an in-house Email Server such as Microsoft Exchange, Lotus Notes, Novell GroupWise, etc..

In this configuration, cleaned mail is delivered to individual mailboxes Hosted on a server external to the Company. The user would then authenticate by entering a username & password, to retrieve mail using any of the following access modes:

  • Web Access: Users can access their e-mail through any Web browser, no software installations or configurations are necessary. Simply direct a browser to the secure Web-based interface and enter a user name and password for full access.

  • POP3 Access: Users can send and receive e-mail with standard desktop clients like Microsoft Outlook , Qualcomm Eudora or Netscape Messenger . For security, our servers also support POP3 access over SSL. When using SSL all data is encrypted between you and our servers. This prevents your user name, password, and other sensitive data from being intercepted. This is especially important for customers that may have shared Internet access.

  • IMAP4 Access: IMAP changes the way a user accesses and manages e-mail. After logging on to the server through a desktop client, only the e-mail header is downloaded; the rest of the message stays on the server, saving time, as well as space on the user's hard drive. Maintaining messages on a centralized server is especially useful for users accessing email from multiple computers. Our servers also support IMAP over SSL.

A web based account administration panel enables The Company's administrator to easily maintain the system including the ability to add/delete users, create aliases, and forwards.

Virus Shield

Virus Shield is an option available with both our Email Hosting and Email Spooling services. Email is now one of the most common entry points for viruses into a company's network. Info Exchange's Virus Shield service prevents virus infected email messages from reaching the Corporate network by quarantining infected mail outside of the customer's network.

Our servers also help to prevent the damaging liability of sending virus infected e-mail messages. When used in combination with effective firewall policies our service can be a Company's e-mail DMZ or De-Militarized Zone. A DMZ is a Company's frontline when protecting valuable assets from direct exposure to an un-trusted environment (like the Internet). This approach can also help reduce the cost of securing your network.

The Virus Shield service uses multiple virus scanners to scan inbound e-mail. As each virus scanner presents its own strengths and weaknesses it means no single virus scanner can fully protect against all possible threats. By simultaneously using multiple virus scanners we can achieve much higher security than is possible with only one virus scanner.

Our use of multiple virus scanners also enables us to be vendor independent and use the best virus scanners available on the market. To further improve virus detection rates, our system checks for virus signature updates multiple time daily. This combination gives us exceptionally high detection rates and helps prevent new viruses from escaping detection.

Spam Blocker

SPAM Blocker service is an option available with both our Email Hosting and Email Spooling Services.

SPAM filtering eases the difficult task of dealing with today's SPAM problem. Studies have shown that SPAM costs companies as much as US$30 per employee per week. By greatly reducing the amount SPAM received a company can increase employee productivity and save money.

The SPAM Blocker Service identifies and filters SPAM from your incoming email. The SPAM Filtering Service uses a rule base of hundreds of rules to perform a wide range of heuristic tests on email headers and body text to identify SPAM , (also know as unsolicited commercial email). This makes it much harder for spammers to identify one aspect which they can exploit to work around. Tactics used by our SPAM Filtering Service include:

  • Header analysis : By analyzing email headers and using a wide variety of local and network tests, our SPAM Filtering Service tries to find the tricks that spammers use to try to hide their identities and fool you into thinking they've sent a valid e-mail, or fool you into thinking you must have subscribed at some stage.

  • Text analysis : By using similar techniques to analyze the body of the e-mail message, our SPAM Filtering Service finds the many characteristic styles used by spammers. This includes items like characteristic disclaimers and CYA text.

  • Blacklists : Our SPAM Filtering Service also checks many public blacklists. These lists are used to help identify sources of repeated spamming and other network abuse.

  • Allow/Deny lists : Gives you the flexibility to allow or deny e-mail from specific e-mail addresses, domains, and address patterns. Most importantly, our SPAM Filtering Service can be tuned by your systems administrator, or by individual users by using both email and web based interfaces. This service is most effective when used in combination with our Virus Shield service.
